Start-up project for 1 year.
Facilities Management, Leading of all rent and agreements issues in company: Moscow offices (4500 sq m) and 6 regional offices.
Management and support of all office and admin. functions: Car-fleet, Visa and Travel Department, Purchasing, Security, Cleaning, Reception, Couriers.
Creation of business policies and procedures for the company: mobile policy, travel policy, car policy, credit cards and fuel cards policies.
Car-fleet management up to 600 cars: work wit operational Leasing (Arval), agreements, purchasing of cars for Moscow and 6 regions, GAI, Insurance, car-service centers. Control of fuel-cards.
Managing of administrative services of the company :
- Leading of admin personnel - office-manager, car-fleet manager, receptionists, administrators, couriers, mail-clerk, cleaning, housekeeper, drivers, security (up to 25 persons). Annual PDR process. Employment contracts preparation, staff payroll, selection of support staff, personnel data keeping.
- Travel support outsourcing - implant office, travel-coordination, control of business trips/taxi.
- Full maintenance of Leasing contracts for 2 offices in Moscow (1500 and 3000 sq m), factory premises (Istra), 6 offices in regions, regularly cooperation with Landlords and IT providers.
- Search of new office for the company, renovation works. Arrangement of moving in new office.
- Organizing of moving of various divisions inside of the company.
- Budgeting, cost control, monthly operational budget control of purchases.
- Liaising with Mobile phone operator (MTS), service for up to 500 people.
- Conducting of tenders with new service providers (taxi, lunches, cleaning, plants, stationary, furniture, food, cleaners).
- Support and organizing of seminars, conferences, corporate events.
- Preparing of corporate actions, work with printing houses, ordering gifts for clients and employees.
- Cooperation with State controlling inspections (HSE, Fire-Marshal).
- Providing of full support of 14 ex-pats and members of their families.
Visa department:
- Registration/preparing of accreditations, invitations and business visas for new ex-pats employees and visitors of the company.
- Expansion of a quota on accreditation for foreign employees.
- Search, selection and rent of apartments for foreign employees, conducting all contracts and control of payments for apartments within a year, settlement of all questions with Landlords;
